Overview

An entry-level opportunity has arisen within our Los Angeles office for a part-time Administrative and Development Assistant. As the support person to the Los Angeles office, this position will be an integral part of a small team mobilizing resources for mothers2mothers (m2m). It is a great opportunity for someone who is interested in part-time work and has a passion for global health and women’s empowerment. The incumbent will manage administrative duties for the LA office and Co-founder, as well as provide support on various projects and activities involving fundraising, events planning, and on occasion communications. S/he will also be the IT support person on this small but mighty team.

 

Key Performance Areas

  • Office Management:
    • Basic IT/general tech support
    • Managing general office supplies/equipment/deliveries
    • Responsible for all office financial paperwork (Processing monthly expenses, travel reconciliations, ensuring payment of invoices and compliance requirements)
    • Handling office mail and shipping requests
    • Managing office print orders
    • Tracking/updating office calendar
  • Resource Mobilization:
    • Providing support for donor meetings/events (preparing press kits, individual/foundation/corporate research, etc)
    • Donation Processing
    • Assist with donor database management, including editing/entering contacts and opportunities into Salesforce
    • Work with New York-based Development Office Coordinator to ensure all gifts are recorded properly for month-end reconciliation
    • Supporting in-office design requests for fundraising (invitations, greeting cards, etc), either directly or through liaising with graphic design team
    • Occasional support to the communications team on major projects including events, email newsletters and research

 

Essential Competencies

  • Bachelor’s Degree
  • Excellent written, verbal and interpersonal skills
  • Highly organized and adept at managing multiple concurrent activities with great attention to detail
  • Excellent knowledge of Microsoft Office Programs—familiarity with Salesforce highly desirable
  • Mac and PC proficient
  • Comfort with Excel and budgets
  • A team player who is adaptive, has a sense of humour and is comfortable working in small office with a roll-up-your-sleeves environment
  • Self-motivated, capable of showing initiative, and happy to work independently when colleagues are out of the office
  • Passion for and commitment to the mission and goals of mothers2mothers

 

Desired Competencies

  • An interest in and understanding of international development
  • An interest in and understanding of HIV/AIDS and women’s issues
  • Experience using database systems (Salesforce and Powerpoint)
  • Proficiency in Photoshop
  • One year’s relevant work experience
