ABOUT THE ORGANIZATION

American Jewish World Service (AJWS) is the leading Jewish organization working to promote human rights and end poverty in the developing world. AJWS advances the health and rights of women, girls and LGBTQI+ people; promotes civil and political rights; defends access to food, land and water; and aids communities in the aftermath of disasters. We pursue lasting change by granting approximately $40 million annually to more than 500 grassroots and global human rights organizations in Africa, Asia, Latin America and the Caribbean and by mobilizing our community in the U.S. to advocate for global justice. OVERVIEW OF DIVISION

AJWS’s programs division works to build civil society in select countries in Africa, Central America and the Caribbean, and Asia by supporting non-governmental organizations (NGOs), community-based organizations (CBOs), grassroots human rights groups, and larger social change organizations that are advancing human rights. AJWS partners with organizations that work on four critical issues:

Sexual Health and Rights: Advancing the Rights of Women, Girls and Sexual Minorities
AJWS works to increase access to services and end discrimination, violence and abuse of women, girls, LGBTQI+ people, and sex workers, so that they can access the full spectrum of opportunities in society and live in health, safety, and dignity.

Civil and Political Rights: Promoting Recovery from Conflict and Oppression
AJWS supports communities to recover from conflict and oppression, speak out against injustice and create vibrant, peaceful societies that respect the rights of all citizens.

Land, Water and Climate Justice: Defending the Right to Food, Land and Livelihoods
AJWS supports organizations that advocate for the rights of rural, indigenous, and poor communities who are displaced from their land or prevented from earning a living because of mining, dams, and other development that threaten their way of life.

Humanitarian Response

When severe disasters strike in the countries where we work, AJWS provides immediate humanitarian relief and stays the course with long-term support for recovery—building more just and equitable societies that benefit people whose needs are often ignored.

 

AJWS’s International Operations Department (IOPS) provides grants management support for a $15 million core grantmaking portfolio as well as additional grantmaking through donor-advised funds. AJWS uses the Salesforce foundationConnect grants database system.

 

ABOUT THE POSITION

The Grants Management Associate is responsible for supporting the grants management team in implementing AJWS’s core grantmaking portfolio. They are exceptionally systems-oriented with strong attention to detail and organizational abilities. In collaboration with other IOPS colleagues, they work closely with program teams to administer hundreds of grants and liaises with the Finance Department to ensure that payments are made in a timely manner. The Grants Management Associate reports to the Associate Director of International Operations and works in conjunction with the entire Programs Division, as well as the larger organization, to ensure the effective and efficient management of AJWS’s core grantmaking.

Key responsibilities include but are not limited to:

  • Administer a comprehensive grantmaking portfolio, including regular communication with grantees, sending grant agreements and tracking grant reporting;
  • Ensure grants comply with legal and IRS regulations and AJWS requirements, maintain running list of compliance issues, and maintain proper records of all grants;
  • Running twice-weekly OFAC checks through CSI WatchDOG Elite, providing timely updates to the Grants Manager
  • Enter grants payments into payment processing sites (AmEx, Citi, fXecute) for twice-weekly payment batches, working closely with the Grants Manager;
  • Provide timely feedback to the Associate Director and Grants Manager regarding payment, compliance, and/or other grants management-related issues;
  • Assist in the creation and running of reports and searches in the grants database to support staff in accessing grant statistics needed for their work;
  • Monitor integrity of grants data; take on data clean-up and entry projects as needed;
  • Assist in creating and streamlining systems and processes related to program departments and Finance;
  • Assist in maintenance of grants-related policy and procedures manual and how-to guides, including designing and updating materials on division-wide procedures and training division members;
  • Support the grants management team in conducting ongoing grants management-related trainings and orientations for staff and consultants;
  • Assist with preparation of grants information for annual audit;
  • Assist with the grants docket process by consolidating grants data in partnership with program departments, following up with program departments for data updates/missing data, and creating and formatting the docket document;
  • Develop and maintain strong relationships with program, finance, and other staff for day-to-day activities and to coordinate division-wide projects;
  • Participate in department- and organization-wide initiatives such as task forces and working groups when appropriate;
  • Actively participate in peer-learning and networking through PEAK Grantmaking and other professional organizations; and
  • Respond to department inquiries including communication with international grantees and colleagues. 

Qualifications:

  • BA/BS required;
  • Minimum two years’ previous work experience (nonprofit/grantmaking experience a plus);
  • Energized by working in a fast-paced environment with multiple demands, with the ability to prioritize competing tasks;
  • Strong interest in administrative systems creation and processes;
  • Skilled in Microsoft Office Word, Outlook, and PowerPoint, with particularly strong Excel skills;
  • Experience working with databases required (Salesforce/foundationConnect experience a plus);
  • Detail-oriented with strong organizational skills and able to meet deadlines;
  • Ability to manage relationships, including regular communication with international Programs Division and Finance staff, as well as international grantees;
  • Flexible, adaptive work style with a collaborative and proactive approach;
  • Excellent writing and communication skills;
  • Knowledge of French, Haitian Kreyol, and/or Spanish a plus;
  • Interest in being a part of a dynamic and evolving team and organization;
  • Commitment to social justice, DEI, and human rights;
  • Interest in international work; and
  • Strong interpersonal skills and a supportive team player.
