Grants Coordinators (A.R.T.)

About A.R.T./New York

A.R.T./New York’s 400+ member theatre companies – from Pregones/PRTT in the Bronx, to Lincoln Center Theater, to National Black Theatre in Harlem, to Theater Breaking Through Barriers, Target Margin Theater in Brooklyn and Pan Asian Repertory Theatre - are the heart of the organization. A.R.T./New York provides subsidized office and rehearsal space at Spaces@520 in midtown Manhattan and South Oxford Space in Fort Greene, Brooklyn; subsidized performance space at the A.R.T./New York Theatres; funding through grant and loan programs; training through workshops and peer roundtables; and convenings for the field with a special focus on the needs of small nonprofit theatres. These programs, along with advocacy efforts, have positioned A.R.T./New York as a thought-leader in the New York theatre community and the arts citywide.

A.R.T./New York is launching a number of new initiatives in grant-making and education programs designed to address the needs of the field, including Diversifying Our Organizations, an effort to strengthen and diversify nonprofit theatres and their boards through cohort-based education and field research; Access A.R.T./New York, a program designed to educate the field and create access for artists, administrators, and audience members with disabilities; and Body Autonomy, a new set of programs and partnerships that strive to end harassment in the theatre profession.  A.R.T./New York was recently selected by the Andrew W. Mellon Foundation to administer its New York Theatre Program, which provides critical multi-year funding to 36 theatre companies. 

A.R.T./New York currently administers five grant programs: the Nancy Quinn Fund, the NYSCA/A.R.T./New York Creative Opportunity Fund (a statewide theatre regrant program), the Creative Space Grant, the Norman Bel Geddes and Edith Lutyens Design Enhancement Fund, and the Andrew W. Mellon New York Theater Program (more information about these grant programs can be found here), in addition to two rolling micro-grants as part of the Access A.R.T./New York and Body Autonomy programs. A.R.T./New York’s grant-making process prioritizes a significant amount of technical assistance and opportunities for support on the front and back end of the application process including in-person and online info sessions, the opportunity for a staff member to provide comments on an applicant’s draft of their narrative and/or budget prior to the grant deadline, and the opportunity for all applicants to receive panel feedback following the grant notifications.

The Grants Coordinator will work closely with the Director of Programs on the planning, administration, and execution of A.R.T./New York grant programs as well as providing administrative support for the department. This position will report to the Director of Programs and work closely with the full programs department, communications, and development staff.



Include but are not limited to:

  • Grant Program Management:
    • Coordinate and implement A.R.T./New York’s five grant programs including maintaining the grants calendar, building grant application forms and notification emails, and generally ensuring an alignment of A.R.T./New York’s values and mission with its grant programs.
    • Recruit and manage grant panelists for each of A.R.T./New York’s grant programs, including distributing log in information to grant portal, drafting and sending contracts, and providing pre-panel training.
    • Support member theatres and artists through the application process including providing technical support in using our website and grant administration software, scheduling and facilitating info sessions, providing front and back end feedback, and answering questions via email and phone.
    • Collaborate with the Communications Department to ensure accuracy in all grant information on website, social media, and email newsletters.
    • Track, analyze, and report on the impact of grant programs in alignment with their goals.
    • Work closely with the Development Department to maintain updated information and materials to funders regarding grant programs.
    • Keep a close eye on grant language and processes, both internal and external, to ensure alignment with A.R.T./New York’s values and commitments to diversity, equity, inclusion, and accessibility.
    • Work with Director of Programs to ensure the expeditious review and response to Access and Body Autonomy micro-grants.
  • Department Administration:
    • Provide administrative and office support for department and Director of Programs, including calendar management.
    • Organize, code, and submit receipts for grant programs and department.
    • Provide on-site staff support for A.R.T./New York programs (including workshops and roundtables). Note: this may include some weekend or evening events.
    • Represent A.R.T./New York at external events as necessary.
    • Participate in strategic and programmatic planning with the department and organization to identify and implement organizational goals.


The ideal candidate 

  • Understanding and knowledgeable about the NYC theatre community as an artist, administrator, or both.
  • Highly effective at spoken and written communication with colleagues, applicants, and other stakeholders, with the ability to provide critical feedback and support with patience, attentiveness, and a generous and understanding demeanor.
  • Excellent listening skills, able to get to the root of a problem and analyze a situation.
  • Eager to work on a collaborative team, but able to work independently to complete tasks on required timeframe.
  • Experienced in holding macro-level big picture thinking for programs while executing micro-level detailed tasks.
  • Attentive to detail with the ability to organize their task management and provide consistent follow through.
  • Interested in building facilitation skills and/or experienced in leading conversations and holding space.
  • Committed to anti-racism and anti-oppression with an ability to maintain the integrity of those values in administering grant programs.
  • Proficient in Microsoft Office Suite and experienced in working with a membership database or CRM. Prior experience with Open Water and/or MemberClicks is a plus.
  • Experienced in working in an office setting, or willing to learn.

A background in theatre, philanthropy, and/or customer service is preferred. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

This is a non-exempt, full-time 40 hour/week position generally scheduled as Monday through Friday 10am-6pm, with some evening and/or weekend hours as required. Candidate should be willing to work flexible hours for occasional events. Salary is $45,000 per annum.
