Position Summary
The Philanthropy Associate will focus on building constituency for the Boston Foundation within the innovation economy and related sectors, supporting Pledge 1% Boston, supporting the Equality Fund’s activities, and coordinating prospect and donor research and projects for the Senior Director.
Essential Functions
- Oversee prospect research, data management, prospect tracking, event planning, and communications for Pledge 1% Boston including:
- Monitor engagement of companies and employees in Pledge 1% Boston and broader TBF initiatives;
- Develop and implement tools for mapping investments for companies in Greater Boston;
- Track funding, expansion and other milestones of Pledge 1% Boston member companies;
- Liaise with Pledge 1% Global on Pledge 1% Boston member tracking and data transfer; and
- Collaborate with internal social media and communications resources to update Pledge 1% Boston collateral and other resources on a regular basis;
- Support the activities of the Equality Fund; oversee scope, timeline and implementation of special grantmaking initiatives; prepare committee materials; and coordinate grant review processes;
- Maintain files pertaining to these efforts including gift & constituency tracking, equity pledges, individual records and target lists;
- Provide research and briefings on individuals and target firms in preparation for outreach, meetings and presentations – industries include innovation economy, venture capital, private equity, and the broader business community.
- Maintain prospect, donor and fund records in Salesforce database; ensure timely, thorough and accurate entry of activities;
- Work collaboratively with colleagues to implement and uphold data integrity protocols to ensure accurate reporting and inform departmental activities;
- Run reports from Salesforce and Foundation Power databases, and review and analyze data related to donor and prospect activities, gifts, and grants;
- Provide technical and administrative support for prospect, partner, and donor events across the Department including managing timelines, activities, deadlines, tracking and coordination of guest lists, invitation mailings and follow up correspondence, research briefings, development packets and materials;
- Assist with occasional events in the mornings (prior to 9:00 a.m.) and evenings (after 5:00 p.m.)
- Field inquiries from prospects/donors via telephone, correspondence and email;
- Assist with calendars, schedules and appointment management;
- Process and submit expense reports and department invoices on a monthly basis;
- Attend meetings and take notes as needed;
- Support as needed with mailings and research as requested; and
- Provide general administrative support to other department team members as requested.

Qualifications
Preparation, Knowledge, Previous Experience:
- College degree or equivalent; and
- At least 2 years of work experience, preferably in development or communications.
Skills, Abilities, Competencies:
- Strong organizational skills and impeccable attention to detail and accuracy;
- Excellent written and verbal communication skills; strong customer service orientation;
- Strong knowledge of Microsoft Office products - especially Word, Excel, Outlook and Power Point; database experience (Salesforce) strongly preferred; familiarity and comfort with social media outlets;
- Excellent data management and reporting skills;
- Professional and mature interpersonal work style, ability to interact well with a diverse range of people;
- Ability to adjust work activity to various management styles;
- Ability to make decisions regarding organizing own workload and managing multiple tasks;
- Must be independent, proactive and able to work under the pressure of tight deadlines;

Working Conditions & Physical Demands
- Ability to sit for long periods of time;
- Ability to use a keyboard for extended periods of time; and
- Ability to lift and carry up to 25 pounds, occasionally.
