Grants Specialist

Position Summary:

The Grants Specialist will partner with colleagues in the Grants, Legal, Client Services, and Finance Departments to provide exceptional grantmaking services for Tides’ clients and grantees around the world. The successful candidate will have a background in nonprofit or database administration and a desire to work in a changing business environment. This position is located in the San Francisco office.

The Grants Specialist is an exempt position. Exempt employees are expected to work the appropriate and necessary time in order to complete key assignments and related tasks on schedule.

Essential Duties and Responsibilities:

Grants Administration

• Works with the Grants Team to intake all grant recommendations weekly (typically 50-100)

• Prioritizes grants for due diligence based on risk, client need and grant complexity

• Facilitates the grantmaking process from recommendation through grant award by communicating with grantees, Tides staff, and clients

• Communicates with domestic and international grantees to gather information and ensure compliance with IRS regulations and Tides grantmaking policies and procedures

• Collects and reviews grant and due diligence materials, identifying and escalating compliance issues as needed

• Gathers and records grant data, ensures data integrity, and participates in administration of grantmaking database

• Assists with review of grantee banking information and management of outstanding payment issues

• Generates, edits, and reviews grant award letters to ensure accuracy of terms and conditions and to reflect client’s intent

• Creates and maintains grant files to meet legal and Tides policy requirements

• Provides support and oversight of grant record-keeping

Reporting and Compliance

• Coordinates processes for post-award grant tracking, and reporting requirements

• Follows up on reporting with grantees and informs client-facing staff

• Gathers and records grant data, ensures data integrity, and participates in administration of grantmaking database

• Applies IRS rules and grantmaking compliance procedures for Expenditure Responsibility reporting and tracking of lobbying expenses

• Stays up to date with relevant policies, regulations, and trends in grants management

• Contributes to the due diligence and compliance best practices for new grantmaking funds

Teamwork

• Develops and maintains best practices for grantmaking by designing workflow processes to facilitate grants administration

• Updates grantmaking processes and training materials on a regular basis

• Identifies and recommends process and workflow improvements

• Builds and maintains strong partnerships with all team members; maintains regular working relationships with other departments and entities across the Tides Network

• Preferred proficiency in foreign languages for written and verbal communication (specifically Spanish, French, Portuguese, or Japanese)

• Ability to demonstrate sensitivity to and appreciation for diverse viewpoints and different communication styles in a multicultural environment

• Strong computer skills particularly with databases, word processing, and spreadsheets. Experience with system implementation is a plus. Knowledge of web-and electronic-based document management tools and practices. Ability to graphically represent data and concepts

Education and Experience:

• Undergraduate degree or equivalent years of related work experience

• 2+ years of professional experience
