Grants Manager, Managed Organizations (DC or Chicago, IL)

Arabella Advisors seeks an organized, detail-oriented, highly motivated and socially engaged professional to serve as a grants manager to assist in the management of innovative social sector projects. The Grants Manager will manage a large portfolio of fiscally-sponsored projects that require a significant amount of grants administration and contract management skills. This position will independently manage client service for a portfolio of fiscally sponsored projects by overseeing donor, contract, and subgrant management, financial management and legal compliance. The ideal candidate will have strong project management experience, experience managing grants and/or contracts and a deep understanding of non-profit compliance and financials. This position forms part of our Managed Organizations Team, but will also work closely with other teams across the organization and may liaise with a range of external stakeholders including donors, grantees, and others.

About the Managed Nonprofit Organizations
 
Arabella Advisors provides operations and management support to multiple public charities, including a 501(c)(3) named the New Venture Fund and a 501(c)(4).  These managed organizations house new and innovative public interest projects and nonprofits, as well as coordinate collaborative initiatives between donors and administer grants programs. This type of structure is commonly referred to as fiscal sponsorship, and candidates are highly encouraged to research fiscal sponsorship prior to a first interview.  The managed organizations provide support to a diverse range of projects, including many focused on conservation and global health.  The organizations have also provided fiscal sponsorship to projects focused on voter registration, public policy, education, disaster recovery, and music and the arts.
 
Essential Responsibilities
 
Donor Relations (~25%)
  • Review for compliance and finalize grant applications and budgets, providing any required supporting documentation.
  • Manage communication with foundation staff.
  • Submit grant applications on behalf of administered non-profit entities, including NVF.
  • Review and execute grant agreements. Send fully-executed agreements to funders and/or contractors, as necessary.
  • Manage and track donor funding for each project.
  • Track donor reporting deadlines and request reports from contractors, as needed. Review contractor-drafted narrative reports and produce accompanying financial reports.
  • Submit accurate reports in a timely manner to donors.
Contract Management (~25%)
  • Develop or review contract agreements, including budgets. Negotiate with contractors on any revisions, seeking legal counsel as needed.
  • Manage the signatory process for contracts. Send fully-executed agreements to contractors.
  • Track contract budgets and reporting deadlines. Draft contract addendums as needed.
Subgrant Administration (~25%)
  • Prepare subgrant dockets, including reviewing due diligence documentation and running OFAC checks.
  • Develop subgrant agreements and provide to grantees for review and signature.
  • Manage the signatory process. Send fully-executed agreements to grantees.
  • Manage grantee relationship, answering queries and monitoring progress over the course of the grant period.
  • Track grant reporting deadlines and send reminders to grantees. Review grant narrative and financial reports for compliance and, as needed, provide them to advisory board members or other key stakeholders. 
Compliance and Financial (~25%)
  • Ensure compliance of all agreements and project activities with donor requirements, non-profit policies and procedures, and state, federal and international regulations. Ensure project activities are 501(c)(3)-appropriate, charitable and consistent with donor stipulations.
  • Consult legal counsel as necessary to review project activities and/or agreements.
  • Maintain up-to-date agreement information in various technology systems and platforms, including Salesforce.
  • Process payments in a timely manner, ensuring accurate coding and documentation.
  • Track and report expenses against project lobbying cap (when applicable).
  • Review monthly project financial reports, including transaction data, for accuracy.
  • Contribute to refining and improving systems and processes for administering grants, contracts and subgrants.
  • Work closely with finance and other lines of business to ensure smooth project management
  • Support proposal development processes for new charitable projects that focus on grants and contracts management
  • Other tasks as assigned.
 
Essential Knowledge, Skills and Experience
  • Bachelor’s Degree or equivalent experience
  • Minimum of two years’ experience in grants and/or contracts management
  • Excellent written and oral communication skills
  • Strong entrepreneurial spirit and resourcefulness in problem solving
  • Outstanding organization and prioritization skills - ability to manage multiple demands, projects and deadlines in a fast-paced environment
  • High level of computer proficiency, particularly with the Microsoft Office Suite
  • Experience or interest in philanthropy, nonprofits, foundation operations and management
 
Other Highly Preferred Knowledge, Skills and Experience
  • Degree in public policy, business, finance or other related field
  • Experience in grantmaking or non-profit finance
  • Experience with Salesforce and database programs
