ABOUT THE POSITION

Position Summary: The program associate helps support the LA n Sync and Sustainability grantmaking and other community investments activities of the California Community Foundation (CCF). This position also provides support for coordination and documentation of departmental schedules, key grantmaking and convening activities and deadlines, committee schedules and meetings, and related background information.  

Major Responsibilities:  

Database/Document Management: Maintains databases and filing systems, including, but not limited to funding requests, grants, and mailing lists.  

Reporting: Supports the production of grant agreements, payment requests, and related reports (e.g., late/missing progress reports, grantee profiles, grant trends). Supports the production of proposals and final reports to funding partners. Supports the reporting duties for all supporting board activities.  Assists with tracking budgets. Processes invoices. Under direction, updates contracts.  

Planning Activities: Ensures timely preparation and coordination of key activities and materials for grants review panels, advisory/board committees and/or board meetings, and assist with support for those meetings. Creates agendas for LA n Sync weekly workgroup meetings and advisory board meetings. Photocopies and collates materials for grant activities, board committees and/or board meetings, or other related departmental and supporting organization functions.

Communications: Assists with screening and routing applications, phone communications, and correspondence. Prepares  routine mailings and form letters. Responds to routine questions and requests for information about grantmaking or other CCF activities. Coordinates the delivery of bi-weekly newsletters and other communication tools. Under direction, updates social media accounts. Helps develop communication materials for grant opportunities and other needs.  

Clerical Activities: Implements routine clerical activities, including data entry, logging funding requests, maintaining calendars and scheduling meetings, recording meeting minutes and generating and maintaining mailing lists. Maintains files, including database contacts. Maintains adequate supplies of relevant forms and office materials.  

Event Coordination: Assists with the planning and execution of all events and meetings supporting LA n Sync and Sustainability activities. As appropriate, occasionally travels locally to provide logistical and staff support for offsite committee meetings and other programs-related functions. 

Research: Researches and presents data and information as appropriate, with regards to LA n Sync and Nonprofit Sustainability Initiative (NSI) priorities.  

Grant Writing Coordination: Prepares grant applications, progress reports for LA n Sync/NSI and CCF general grants. 

General: As appropriate, works as a member of interdepartmental teams to ensure effective and efficient CCF operations. At all times, demonstrates cooperative behavior with supervisors and coworkers. Other duties as assigned, dependent on organizational needs and employee skills.  

COMPENSATION

$47,000 - $60,000
