Solidaire seeks an Executive Assistant to support our member programs, communications, logistics, and events and under the direct supervision of the Director of Strategy and Operations. This is a primarily administrative role that requires a high level of organization and attention to detail, best suited for a candidate who is a highly motivated self-starter with exceptional organizational and communication skills, ability to follow through and meet deadlines. Position Summary

The Executive Assistant provides overall support to Solidaire’s senior staff and is the primary person responsible for the details -- making sure that membership information is organized, administrative tasks are covered, and meetings and events run smoothly. Responsibilities include membership and community management, grant tracking and administrative support across the organization, and program support for Solidaire’s Rapid Response, Pooled, and Aligned giving.

Job Responsibilities

  • Support management team with general administrative tasks such as scheduling, note taking, reimbursements, and credit card reconciliation
  • Supporting committees by scheduling meetings, drafting documents, taking notes and sending reminders
  • Tracking prospective, trial and dues-paying membership statuses, preparing status and renewal reminders, and responding to basic member questions
  • Overseeing and updating the Nationbuilder database, including troubleshooting with database provider
  • Help with formatting, editing and proofreading communications including monthly newsletter updates and annual report
  • Public-facing and members-only section website updates
  • Event and meeting support including scheduling, registration, logistics, and purchasing
  • Coordinating steering committee and staff meeting logistics
  • Help track and organize Rapid Response and Pooled Fund grant data and pledges
  • Field basic inquiries from the general public
  • Maintain organizational calendar and work plan tracking and reminding staff of monthly goals and priorities

Solidaire seeks San Francisco Bay Area candidates who are highly detail-oriented, efficient, and strong communicators, able to be effective as a key member of our virtual team. The Executive Assistant will have:
