Accounting and Grants Assistant (DF)

The Democracy Fund is seeking an Accounting & Grants Assistant to support the Operations Department in carrying out our finance and grants-related responsibilities. This role is vital to managing the disbursement function for the Democracy Fund. The Accounting & Grants  Assistant will be responsible for ensuring that all disbursements are handled in accordance with the Democracy Fund’s policies and procedures. The Accounting & Grants Assistant also will support Democracy Fund Voice, a 501c4 social welfare organization. This role will report to the Controller.

 PRIMARY RESPONSIBILITIES

Accounting

  • Timely and accurately processing of vendor, grant, and staff reimbursement payments
  • Participate in month-end closing activities including journal entries and other analysis
  • Reconcile and ensure accuracy of assigned general ledger accounts
  • Maintain the Fixed Asset and associated depreciation schedules
  • Assist Controller with Treasury functions, e.g. preparing electronic payments for approval, monitoring cash balances
  • Assist with our annual audit processes by preparing supplemental schedules and by responding to audit and Form 990 requests
  • Perform other accounting, financial, or administrative tasks as may be required from time to time by the Controller or Director of Operations and Grants Management

Grants

  • Coordinate with grants management team on the investment process, compliance, and financial reports analysis
  • Participate in monthly grantee narrative and financial reports review meeting
  • Maintain and file grants management documentation
  • Serve as a general resource in regards to finance and grants related organization policies
  • Ensure collaboration between finance and grants management teams

EDUCATION, EXPERIENCE, AND SKILLS REQUIREMENTS

  • Passion for strengthening American democracy
  • Associate’s degree or Bachelor’s degree in Business Administration, Accounting, Finance, or a related field
  • Three or more years of experience with data entry (accounts payable, accounts receivable, and journal vouchers) into a general ledger system, or an equivalent combination of education and experience
  • Experience with multi-string general ledger accounts and associated reportingProficiency with Microsoft applications including Word, Excel and Outlook. Intermediate level experience with Microsoft Excel (very knowledgeable of basic formulas like SUM, COUNT, MROUND, and AVERAGE and proficient with more advanced formulas like IF, VLOOKUP and HLOOKUP)
  • Quick learner with new software systems; Mac experience preferred. While not required, applicants should note if they have experience with Microsoft Dynamics GP, Adaptive Insights, Fluxx, Expensify, Intacct, NetSuite, and Bill.com. Experience with cloud-based environment preferred
  • Excellent written and oral communication skills and rigorous attention to detail required
  • Collaborative, thoughtful, and trustworthy by nature, especially when approaching work,  planning
  • Flexibility and initiative to work both independently and as part of a team
