Job Summary:

Under general to limited direction, the Grants Manager directs and manages the grant information and tracking process from inception through completion, ensuring quality control for all grant making procedures and communication systems. Thorough and effective attention to this process allows ECMC Foundation to meet its commitments to our grantees and fulfill its mission.

This position manages the grants program and does not have supervisory responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Manage no­cost extension approval process
  • Interpret grant agreements for foundation grantees and ensure compliance with foundation, legal, compliance, and IRS requirements
  • Develop systems to standardize and streamline data management
  • Ensure system addresses staff needs and act as the liaison with data system vendor Utilize data to demonstrate Foundation’s impact and recommend appropriate strategies
  • Update the data dashboard, analyze and interpret data to aid in strategic discussion with the Program Directors and President
  • Produce regular and special reports of grant activity including written and data illustrations to quantify and summarize findings for communication uses
  • Maintain grants management software by updating, troubleshooting, and customizing reports
  • Identify grants management professional development and training opportunities with current best practice in grants management
  • Manage proposals from receipt through declination or grant award
  • Ensure all grant files are complete, including financial and tax status documents Generate grant acceptance documents, reporting and payment schedules
  • Manage grant reports and interface with grantees to ensure compliance with reporting and evaluation requirements
  • Work with the President and Program Directors to compile materials for Board of Directors’ consideration and approval
  • Provide links between program, finance, information technology and other administrative staff to ensure Foundation activities are smoothly implemented
  • Respond to telephone or e­mail inquiries regarding the grant­making program Respond to and manage Letter of Inquiry from perspective grantees
  • Establish and maintain recordkeeping and filing systems, accurate grants calendar, scheduling and tracking of grant activities and deadlines
  • Perform all required data entry including coding decisions Perform special grant­making related projects as assigned Ensure compliance with IRS regulations
  • Comply with all ECMC Group Policies Perform other duties as assigned

Qualifications

EDUCATION and EXPERIENCE

Required - 

Bachelor’s degree in a related field

4+ years related work experience in complex data system 

Preferred - 

Master's degree in a related field

KNOWLEDGE, SKILLS and ABILITIES

  • Knowledge of word processing operations, database management, and spreadsheet software Demonstrated the ability to work independently to achieve goals and make decisions
  • Ability to think strategically and recommend changes Excellent organizational skills
  • Excellent written and verbal communication skills required
  • Basic knowledge and skills working in a computer based office suite environment; Microsoft Windows or Mac Office required
  • Ability to manage conflicting priorities and handle multiple tasks/projects concurrently Ability to effectively organize, plan, control and prioritize work/projects.
  • Ability to regularly communicate progress to appropriate stakeholders Ability to effectively summarize complex data
  • Ability to oversee recordkeeping and filing systems Ability to communicate effectively
  • Ability to manage multiple tasks and accept data from multiple sources Detail oriented
  • Displays and promotes high standards of ethical conduct and behaviors consistent with organizational standards

ADDITIONAL PERTINENT INFORMATION:

Required to work normal hours to successfully perform the job responsibilities Required to work at an ECMC location daily, working from home is not an option May need to work nights and weekends to complete assignments

Frequently subjected to interruptions, multiple calls and inquiries  The noise level in the work environment is usually quiet to moderate
