Arabella Advisors is looking for an assistant who is passionate about high-impact philanthropy and engaging with strategically-focused donors. A successful candidate must be highly organized and detail- oriented; display excellence and professionalism in written and oral communications; possess a desire to help our clients lead successful meetings, working sessions, and convenings; and be committed to providing administrative support to help the consulting team achieve its annual strategic objectives, work together effectively, and seek new business opportunities.

As a member of Arabella’s collegial, client-focused, and impact-driven community, you will contribute to projects that service high-profile institutional, family, and corporate foundations, and philanthropic individuals. Our team helps clients develop grant-making strategies, implement programs, evaluate their impact, and collaborate effectively with other donors. As an assistant, you are responsible for helping plan and organize meetings and convenings, scheduling interviews and client meetings, and contributing to broader consulting team management. You will play a central role in advancing your project teams’ work and in helping the consulting team achieve its goals.

About Arabella’s Consulting Team

Arabella’s consulting practice works with institutional, family, and corporate clients to develop, implement, and assess effective grant-making programs, as well as to launch and manage efforts that go beyond grant making to further their philanthropic goals. We work with many of the nation’s leading foundations, helping them achieve impact in education, health, international development, conservation, and more.

Essential Responsibilities

Assistants play an essential role in supporting: 1) client service, particularly related to program management, convening and learning, and project support and administration; 2) consulting team management; and 3) business development and internal projects. Your role will include the following responsibilities:

Client Service (~50%)

Program Management and Convening and Learning

  •   Assist in conference planning on behalf of clients, including agenda drafting/formatting, writing speaker bios, helping organize speaker preparation, and managing participant logistics

  •   Assist in executing strategic programs and initiatives, including grantee learning networks, newly created organizations, and donor collaboratives

  •   Provide logistical support for client meetings and conferences held on behalf of clients

  •   Coordinate and support production of meeting materials, including agendas, handouts, and

    slide decks

Project Support & Administration

  •   Schedule interviews and coordinate conference calls, webinars, and focus groups

  •   Schedule and transcribe notes for internal check-ins, client meetings, and interviews with

    external stakeholders

  •   Update contact data in Salesforce

  •   Enter project budgets into our time management system

  •   Provide additional administrative support on projects as needed

Consulting Team Support (~30%)

  •   Schedule, organize, and manage logistics for all internal consulting team meetings, including managing calendar invites, agendas, materials, and technology

  •   Support the planning and organization of team retreats and trainings

  •   Help onboard new staff by scheduling all onboarding sessions and ensuring that onboarding

    materials are updated regularly

  •   Support team leadership in tracking progress on the team’s annual strategic objectives

  •   Update the team’s resources available on the intranet

  •   Provide administrative support for our time management system, including updating

    information, pulling reports, managing questions/requests from the team, and training new staff on how to use the system

Business Development and Internal Projects (~20%)

  •   Support proposal development for new client opportunities, including pulling and updating resumes, staff bios, and project summaries, and researching prospective clients

  •   Represent the consulting team internally for various firm-wide needs, including knowledge management, skills development, and/or culture

  •   Initiate and lead internal projects as needed

Essential Knowledge, Skills and Experience

  •   Bachelor’s degree required, preferably in a related field

  •   Up to two years of experience in an administrative role (acquired through full or part time work,

    or internships)

  •   Extremely strong attention to detail and a strong sense of personal responsibility for one’s work

  •   Ability to manage multiple tasks and projects simultaneously and in a timely and proactive manner

  •   Ability to prioritize among competing demands and overlapping deadlines

  •   Ability to work independently and as part of a team

  •   Ability to be resourceful and adapt quickly to change

  •   Excellent organizational, interpersonal, and written communication skills

  •   Experience in program management and event planning

  •   Team-oriented, professional, with a positive attitude

  •   Comfort using Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint

  •   Technologically savvy with an interest in learning and training others in technology solutions,

    including Skype for Business, ReadyTalk, Doodle, Salesforce, etc.

  •   A strong interest in the field of philanthropy

Other Highly Preferred Knowledge, Skills and Experience

  •   Experience in office management and administration, meeting planning, and/or client or customer service

  •   Experience with Microsoft SharePoint and Salesforce

  •   Interest in and experience with our areas of focus: education, health, environment, and

    international development

  •   Interest in and experience with graphic design and/or data visualization

  •   Enjoys the challenge of a learning curve, but never views routine tasks as a burden
